Terms and Conditions for ALEN Events Participation and Website Use

Introduction

These Terms and Conditions (“Agreement”) govern the operation, management, and participation of all delegates (“Participants”) in the AfriLead EduTourism Network (ALEN) Conferences, Summits, Forums, and related programs (like “Events”). Collectively, these are referred to as “ALEN Events” throughout this Agreement. The Agreement also governs the use of the ALEN website and all submissions made to us through our various forms opened to the public.

The information provided on this website is intended for general use and may not apply to all geographical locations. While ALEN strives to ensure the content is accurate and up to date, it reserves the right to modify or update the information at any time without prior notice.

1.  Eligibility.

To attend ALEN Events, participants must be 15 years or older at the time of registration. Proof of age will be required during the registration or application process.

2.  Registration/Application Process.

Registration for ALEN Events must be completed through the official webpage of ALEN. Participants are required to provide accurate and complete details, including their nationality and country of current residence as specified in the registration form, among other requested information.

3.  Application Review and Selection Criteria.

Applications will be evaluated based on:

  • The maximum capacity of each delegate category (i.e fully funded; Partially Funded, and Self-Funded Delegates).
  • The availability of preferred delegates category.

Delegates will be selected under one of the following delegates categories based on their application evaluation outcomes:

  • Fully Funded Delegates.
  • Partially Funded Delegates.
  • Self-Funded Delegates.

4.  Registration Categories and Deadlines.

The registration process will follow three distinct categories:

  • Early-Bird Registration.
  • Regular Registration.
  • Late Registration.

No extensions will be granted on registration deadlines, unless communicated officially on our website and social media accounts. Once the maximum capacity is reached in all categories, subsequent applicants will be placed on a waiting list. If any changes occur, delegates will be notified via ALEN’s official website or social media platforms.

Participants registering after the specified deadline may forfeit access to certain privileges, including but not limited to:

  • Participation in briefing and onboarding sessions.
  • Guaranteed hotel accommodations with their delegation.
  • Pre/post-event night bookings.
  • Airport transfer assistance and arrival welcome.
  • Catering that accommodates dietary requirements.
  • Delegate speaker opportunities or panel discussions.
  • Exclusive mentoring sessions and meet & greets.
  • Flag bearer roles at the Opening Ceremony.
  • National representation opportunities.

5.  Accuracy of Information.

Delegates are responsible for ensuring that all information provided during registration is accurate and complete, including dietary preferences or special access requirements. ALEN will not be held liable for errors or inaccuracies in submitted application information.

6.  Visa Support.

Delegates requiring visa support must notify ALEN at info@afrileadnetwork.org. Requests must align with registration and event timelines. ALEN will provide reasonable guidance but will not assume responsibility for visa denials, delays, or missed events due to visa issues.

7.  Payment Terms.

Payment is due immediately upon submission of your Event application. Failure to make timely event payments may result in cancellation of your participation or allocated slots.

8.  Event Changes and Cancellations.

8.1 Event Changes

ALEN reserves the right to:

  • Change venues or Delegates will be notified 6-2 weeks prior to the event and suitable alternatives will be provided within a reasonable distance.
  • Alter event content or timings.
  • Postpone or reschedule in such cases, substitute delegate places will be offered.
8.2 Event Cancellation.

If the event is cancelled by ALEN for reasons other than force majeure, delegates will receive a full credit invoice refund.

Force majeure” includes, but is not limited to:

  • Strikes, lockouts, or labor shortages.
  • Natural disasters (e.g., storms, floods, pandemics).
  • Civil unrest, terrorism, or war.
  • Government actions or denials of necessary approvals to ALEN to host the event in the destination country.

ALEN is not liable for additional costs incurred by delegates, such as travel, accommodation, or meals expenses, due to postponement or cancellation under the above conditions.

9.  Safety and Security.

Delegates are responsible for their own safety and security during the event and related travel periods. ALEN disclaims liability for any loss, damage, injury, or death unless caused by gross negligence or willful misconduct by ALEN during the official event sessions.

10.  Travel Insurance and Health Requirements.

Delegates must:

  • Have appropriate travel insurance.
  • Ensure they meet health and vaccination requirements of the destination event hosting country.

ALEN is not responsible for delegates’ health and safety compliance.

11.  Intellectual Property.

All intellectual property on the ALEN website, including content, trademarks, and design rights, is owned or licensed by ALEN. Unauthorized use, reproduction, or modification of ALEN’s content is prohibited. Delegates may print a single copy of website content for personal reference only; NOT redistribution, photocopying, or reusing of the content.

12.  Media and Recordings.

All ALEN Events will be recorded for promotional and educational purposes of ALEN. By applying and participating in ALEN Events, delegates consent to:

  • The use of their professionally submitted photos during application and later participation, images, voices, and likenesses in all ALEN media.
  • ALEN’s worldwide, royalty-free license to use the recorded materials before and afetr the events.

13 Limitations of Liability.

13.1 General.

ALEN’s maximum liability is limited to the fees paid by the delegate. ALEN disclaims liability for indirect or consequential losses, including loss of income or goodwill by the applicant or officially selected delegates.

13.2 Third-Party Liability.

ALEN is not responsible for actions or failures of third parties, including payment service providers contracted by ALEN, accommodations or travel providers.

14.  Conduct and Damages.

Delegates are responsible for any damages caused by their deliberate, reckless, or negligent actions while attending the events. ALEN reserves the right to charge for repair or replacement costs if in anyway affects it.

15.  Website Use.

By using the ALEN website, users agree to:

  • Adhere to these Terms and Conditions of Use.
  • Accept that ALEN may change website content or suspend services without prior notice.
  • Assume responsibility for their own device security and data protection.

16.  Jurisdiction and Governing Law.

This Agreement is governed by English law. Any disputes shall be resolved under the exclusive jurisdiction of the English courts in the country/countries where ALEN is officially registered and recognised.
